Privacy Notice
This notice explains what personal information Melro AI, Inc. collects through melro.ai, how we use it and the rights you have. In short: we count visits with cookieless analytics, use Google to schedule demos and read the emails you send us. We don’t run ads, use advertising trackers or sell your information.
Who we are
Melro AI, Inc. (“Melro”, “we”, “us”) is a Delaware corporation based in the United States. We run the website at melro.ai and are responsible for the personal information collected through it. In EU and UK law this makes us the “controller” of that information.
- Privacy questions and requests: privacy@melro.ai
- Everything else: contact@melro.ai
What this notice covers
This notice covers personal information we collect when you:
- visit melro.ai
- book a demo with us
- email us
It also briefly explains how our products handle data that our business customers provide. See “Our products and customer data” below.
Other companies’ websites and services that we link to or embed have their own privacy policies. This includes Google’s scheduling page.
Information we collect
We collect only a small amount of information, in these ways:
- Website visits. Our hosting provider, Vercel, receives the technical information every browser sends when it requests a page. This includes your IP address, browser and device type, the page requested, the referring page, and the date and time. Vercel uses this information to deliver the website and keep it secure, and it may keep this information in server logs.
- Website analytics. We use Vercel Web Analytics to understand how the website is used overall. It records page views along with:
- the page address
- the referring site
- your approximate location, such as country, region or city
- your browser, operating system and device type
- Demo bookings. Our demo booking page is a Google Calendar appointment scheduling page embedded on our site. When you book, you give Google your name and email address, plus any notes you choose to add. Google shares the booking details with us. We receive your name, email address, the time you chose and your notes.
- Demo calls. With your agreement, we record and transcribe demo calls so we can keep accurate notes and follow up properly. We ask at the start of each call, and you can say no or ask us to stop at any time. A recording and transcript include what participants say and show during the call, and the names of the people who joined.
- Emails. If you email contact@melro.ai, privacy@melro.ai or someone at Melro directly, we receive your email address and name. We also receive anything you include in your message, such as your company or role.
The website has no accounts or sign-in, and no newsletter sign-up. Please don’t send us sensitive information through the booking form or by email. Examples include health information or government ID numbers.
Cookies and similar technologies
We don’t use cookies for advertising or to track you across other websites, and our analytics tool doesn’t use cookies.
- Our hosting and network providers may use technologies that the website needs to stay secure and work properly, and these can include cookies.
- Google provides the demo booking page. It loads only when you choose “Show available times”. When it loads or when you use it, Google may use cookies or similar technologies. Google may also collect information such as your IP address and browser details. Google handles this information under the Google Privacy Policy.
Some browsers can send a “Do Not Track” signal. We don’t track you across other websites over time, so the website works the same whether or not you send this signal.
How we use information
We use the information described above to:
- deliver the website, keep it secure and fix problems
- see which pages are useful, using combined statistics, and improve the website
- schedule, prepare for and hold demos, keep accurate notes of them (including recordings and transcripts when you agree), and follow up with you afterwards about Melro
- answer your questions and requests, including privacy requests
- comply with the law
- protect the rights, safety and security of Melro and others
- establish, exercise or defend legal claims
If you don’t want follow-up emails from us, tell us and we will stop. We don’t use website information for advertising. We don’t make decisions about you based solely on automated processing that have legal or similarly significant effects on you.
Legal bases for visitors in the EEA and UK
If you are in the European Economic Area or the United Kingdom, we rely on the following legal bases to use your information:
- Legitimate interests. We have a legitimate interest in running, securing and improving our website. This includes understanding how the site is used overall, responding to messages and communicating with business contacts about Melro. We weigh these interests against your rights, and you can object at any time. See “Your rights”.
- Steps before a contract. When you ask to book a demo or to discuss using Melro, we use your information to take the steps you have asked for before any agreement is made.
- Consent. Where we rely on your consent, you can withdraw it at any time. This doesn’t affect anything we did before you withdrew it.
- Legal obligation. In some cases the law requires us to use your information.
How we share information
We share personal information only in the following situations:
- Service providers. Vercel hosts the website and provides our analytics. Cloudflare provides the domain name system (DNS) services that direct browsers to our website. Google provides our email, calendar and demo scheduling page through Google Workspace and processes that information on our behalf under its Workspace terms. When you use Google’s booking page, Google’s own privacy policy also applies to your use of Google’s services. We use meeting and note-taking tools to hold, record and transcribe demo calls when you agree.
- Professional advisers. Where needed, we share information with advisers such as lawyers and accountants, who must keep it confidential.
- Legal requirements. We share information when we believe in good faith that the law, legal process or a valid government request requires it. We also share it when needed to protect the rights, safety or security of Melro or others.
- Business transfers. Melro may be part of a merger, acquisition, financing, reorganization, bankruptcy, or sale of all or part of its business. If so, information may be disclosed or transferred as part of that transaction.
- With your consent. We share information when you ask us to or agree to it.
No sale of personal information or sharing for advertising
We don’t sell personal information. We also don’t share it for cross-context behavioral advertising, also called targeted advertising. These terms are defined in the California Consumer Privacy Act and similar US state laws. We haven’t done either in the past 12 months, and we don’t knowingly sell or share the personal information of anyone under 16.
Because we don’t sell or share personal information, there is nothing to opt out of. If that ever changes, we will update this notice first and offer any opt-out the law requires.
Our products and customer data
Our products are used by businesses. They include:
- Melro Training, which gives a company’s people realistic voice practice with an AI counterpart built from the company’s own knowledge. It evaluates each practice conversation behavior by behavior.
- the Melro Voice API and the Melro Scoring API, which offer these capabilities to developers. The Scoring API evaluates conversation transcripts, whether the participants are people or AI, in practice or in real work.
Our business customers and their users provide or create content through the products. Examples include company knowledge, practice conversations and their transcripts, conversations submitted for scoring, and evaluation results. We process this content on the customer’s behalf, under our agreement with that customer, as its service provider or processor. The customer decides how its data is used and is responsible for its own privacy notices.
If you use Melro through your employer or another organization, please send privacy questions and requests to that organization. If you contact us instead, we will refer you to the organization or pass your request on to it where we can identify it. We will then help the organization respond as our agreement with it requires. This notice doesn’t describe our product data handling in detail. Our customer agreements govern that handling.
International transfers
Melro is based in the United States. Our service providers process information in the United States and in other countries. If you visit from outside the United States, your information will be processed in countries whose data protection laws may differ from those where you live.
Sometimes the law requires safeguards for transfers of personal information from the EEA, the UK or Switzerland. In those cases, we rely on an approved method, such as standard contractual clauses.
How long we keep information
We keep personal information only for as long as we need it for the purposes in this notice. After that, we delete it or remove anything that identifies you. How long we keep it depends on:
- why we collected it, and whether we still need it for that purpose. For example, we consider whether we are still talking with you or your company about Melro.
- whether you have asked us to delete it or objected to our use of it
- whether we must keep it to meet legal, tax or accounting obligations, or to resolve disputes
Our service providers keep some information, such as server logs, for periods set by their own services and settings.
Security
We use reasonable administrative, technical and organizational measures to protect personal information. These measures suit our size and the information involved. No website, email or storage system is completely secure, so we can’t guarantee the security of your information. Please don’t send us sensitive information by email.
Your rights
Depending on where you live, you may have the right to:
- access the personal information we hold about you and get a copy
- correct inaccurate information
- delete your information
- object to how we use your information, or ask us to limit it. You can always object to uses based on our legitimate interests and to direct marketing.
- receive information you gave us in a portable format
- withdraw consent where we rely on it
- complain to your local data protection authority. We would welcome the chance to address your concern first.
To make a request, email privacy@melro.ai. Before we act on your request, we may need to confirm your identity, for example by asking you to reply from the email address we have for you. We will respond within the time the law requires. We won’t treat you differently for exercising your rights.
Some rights have limits. For example, we may need to keep some information to comply with the law. If we can’t fully meet your request, we will explain why.

- opt out of the sale or sharing of personal information, targeted advertising and certain profiling
As explained above, we don’t sell or share personal information or use it for targeted advertising or that kind of profiling.

For business purposes, we disclose it to the service providers described in “How we share information”. We don’t intend to collect sensitive personal information through the website.
To make a request, email privacy@melro.ai. You may use an authorized agent to make a request for you. If you do, we may ask for proof that the agent is authorized and confirm your identity with you directly. If we turn down your request, you can appeal by replying to our decision and telling us why. We will review your appeal and tell you the outcome. If we deny your appeal, you can contact your state attorney general.
